Welcome to Go Arctic Trips. These Terms and Conditions (“Terms”) govern your use of our website, services, and tour packages. By booking a tour or using our services, you agree to be bound by these Terms. Please read them carefully before proceeding.
1. Definitions
- “Company,” “we,” “our,” “us” refers to Go Arctic Trips.
- “Customer,” “traveler,” “you,” “your” refers to the person booking or using our services.
- “Services” refers to tours, itineraries, travel arrangements, accommodations, transport, and related travel experiences provided by us.
2. Booking and Payments
- A booking is confirmed only after receiving a completed booking form and the required deposit.
- Final payment must be made within the deadline stated in your confirmation invoice. Failure to pay may result in cancellation of your booking.
- Prices are quoted in Go Arctic Dollars unless otherwise stated and are subject to change due to currency fluctuations, government taxes, or supplier changes.
3. Cancellations and Refunds
Customer Cancellations: If you cancel your booking, cancellation fees may apply depending on the time before departure. Refunds will be processed according to the cancellation policy stated at the time of booking.
Company Cancellations: We reserve the right to cancel or reschedule tours due to unforeseen circumstances, including weather, safety concerns, supplier cancellations, or other circumstances beyond our reasonable control. In such cases, we will provide a full refund or an alternative tour option, where applicable.
Refunds will not be granted for unused services, early departures, or no-shows unless otherwise required by applicable law.
4. Travel Insurance
We strongly recommend that all travelers purchase comprehensive travel insurance covering trip cancellations, medical emergencies, baggage loss, travel delays, and other unforeseen events.
Go Arctic Trips is not responsible for costs, losses, or expenses arising from a traveler’s failure to obtain appropriate travel insurance.
5. Passports, Visas, and Health Requirements
- It is your responsibility to ensure that you hold a valid passport, visas, permits, and any required health or travel documents before traveling.
- Go Arctic Trips is not responsible for denied entry, missed travel, or additional costs resulting from incomplete, incorrect, or expired documentation.
- We may provide general travel information, but the traveler remains ultimately responsible for meeting all entry, visa, health, and documentation requirements.
6. Tour Inclusions and Exclusions
Inclusions: Accommodation, transport, activities, meals, and other services specifically stated in your itinerary or booking confirmation.
Exclusions: International flights, visa fees, travel insurance, personal expenses, optional activities, gratuities, and other services not specifically stated as included.
7. Changes to Itineraries
- We reserve the right to modify itineraries due to weather, safety concerns, operational requirements, supplier changes, or other circumstances beyond our reasonable control.
- Where reasonably possible, we will make reasonable efforts to provide similar alternatives of comparable value.
- No refunds will be issued for itinerary changes resulting from circumstances beyond our reasonable control, except where required by applicable law.
8. Traveler Responsibilities
By booking with us, you agree to:
- Provide accurate and complete personal and booking information.
- Comply with local laws, customs, and regulations during your trip.
- Follow the reasonable instructions of guides, tour leaders, and service providers to ensure the safety and enjoyment of all participants.
- Behave respectfully toward other travelers, staff, local communities, and service providers.
- Take responsibility for any loss or damage caused by your actions or negligence.
9. Health and Fitness
- Some tours may involve physical activity, outdoor activities, walking, hiking, or other physically demanding experiences. It is your responsibility to ensure that you are fit and able to participate safely.
- You should inform us of any relevant medical conditions, disabilities, mobility requirements, allergies, or dietary restrictions at the time of booking so that we can determine whether reasonable arrangements can be made.
- We reserve the right to restrict or refuse participation where a traveler’s condition or behavior presents a significant risk to themselves, other travelers, staff, or service providers.
10. Liability Disclaimer
- Go Arctic Trips may act as an intermediary or agent for hotels, transport providers, activity operators, guides, and other third-party suppliers. To the extent permitted by applicable law, we are not responsible for the acts, omissions, negligence, or failures of independent third-party providers.
- We are not responsible for delays, cancellations, accidents, natural disasters, severe weather, or other events beyond our reasonable control.
- To the fullest extent permitted by applicable law, our liability for loss, damage, or injury arising from the services provided by us is limited to the amount paid for the specific service in question.
- Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited under applicable law.
11. Force Majeure
Go Arctic Trips is not liable for delays, changes, losses, or cancellations caused by events outside our reasonable control, including but not limited to natural disasters, severe weather, pandemics, epidemics, strikes, industrial disputes, political unrest, terrorism, government actions, border closures, transportation disruptions, or supplier failures.
12. Intellectual Property
All content on our website, including text, images, graphics, photographs, videos, logos, designs, and other materials, remains the property of Go Arctic Trips or its respective licensors.
Content may not be copied, reproduced, modified, distributed, published, or used commercially without prior written consent, except where permitted by applicable law.
13. Privacy Policy
